The sentence the hour must end on

This reading is about how a meeting agenda should be written. It is not a list of topics and it is not a story about who talks the most. Each item needs an owner, a clock time, and the decision the room must make before it can leave. A heading such as update does not tell anyone what to leave with. Read it as a workplace note. The questions will offer a tidy line from the first paragraph. Check the last paragraph before you choose. A name with no verb is not an owner, and a time with no decision is only a hope that the hour will behave.

Read it in English first. The other language is a gloss, not the task.

1

A meeting agenda is often treated as a courtesy. It lists topics so people know what the hour is about. That habit produces a page of nouns: sales, budget, staffing. The room then spends the first ten minutes asking what each noun wants from them. A useful agenda is a list of decisions, not a list of subjects. Each line names the decision in a verb the chair can read aloud. Approve the June price list. Choose between two launch dates. A line that only says discuss the quarter invites a conversation with no end. People who receive the page the night before can prepare a number. People who receive a list of topics can only prepare an opinion.

2

The owner is the person who will speak to that item, not the person who cares the most. Writing all next to a line means nobody prepared. Writing one name, and the minutes that name may use, tells the room who starts and when the chair may cut in. Ten minutes for a price list is a different meeting from ten minutes for a shutdown at Haeundae Plant. The time is not a decoration. It is the only way a later item survives. An agenda that gives the first topic forty minutes and the decision five minutes has already chosen which item will fail. Send the page the day before. An agenda that arrives as people sit down is a script nobody has read.

3

Each item should also say what kind of ending it needs. Some items need a yes or a no. Some need a choice between two dated options. Some need only a note that a fact was heard, with no vote. If the agenda does not say which, the room invents one, usually the longest. A status item that secretly needs an approval will run out of time, and the approval will be taken in the corridor after the meeting. A decision item labeled update will be treated as news. The label is a promise about the close. For decision: keep the Northline ship date or move it to May 12. That is a promise. Operations update is a topic, and topics do not close.

The test of an agenda is what a person who misses the meeting can still do. They should see the decision, the owner, and the time without asking the chair. They should not have to rebuild the argument from a title. Firms that keep a one-page rule are not being brief for its own sake. They are refusing the second document that appears when the first one was vague: the mail that asks what the meeting was for. A good agenda can be wrong about the decision and still be useful, because the room can disagree with a sentence. A vague agenda cannot be disagreed with. It can only be endured. The skill is not filling the hour. The skill is naming the sentence the hour must end on.
